Data Deletion Policy
Instructions for deleting your Presence Pilot account and any Google or Meta (Facebook/Instagram) data stored in our systems. This page is the Data Deletion Instructions URL for Meta app review.

Users can request deletion with the form below or by emailing privacy@presence-pilot.com. We complete deletion of Presence Pilot-held copies within 30 days.
1. Summary
You can ask us to erase personal data we hold about you, including data obtained from Google APIs and Meta Platform APIs. This policy explains how to make that request, what we delete, and what we cannot remove from Google or Meta themselves.
This document supports UK GDPR erasure rights, the Google API Services User Data Policy, and Meta’s requirement that apps provide a way to delete user data.
2. How to request deletion
Use any of the following methods:
- Submit the deletion request form on this page (no login required).
- Email privacy@presence-pilot.com with the subject line Data deletion request, including your name, the email on the account, and which platforms you connected (Google, Meta, or both).
- If you still have product access, use in-app account or integration settings where a delete or disconnect control is provided.
We may ask you to confirm control of the email address or workspace so we do not delete another customer’s data by mistake.
3. What we delete
When you request full deletion we will, subject to Section 8:
- Close the Presence Pilot account or workspace you specify
- Delete profile, login, and workspace membership records
- Delete stored copies of Google user data (profile identifiers, location records, reviews cached from Google, reply drafts tied to those reviews, and related tokens)
- Delete stored copies of Meta platform data (Facebook user IDs, Page connections, cached reviews/comments, Instagram connection metadata, and related tokens)
- Revoke and discard OAuth refresh tokens we hold
- Delete or anonymise support tickets that are not required for legal records
Deleting our copies does not remove reviews, replies, or listing information that already appear on Google, Facebook, Instagram, or other public directories. Those platforms remain the source of truth. You must use each platform’s own tools to edit or request removal of public content there.
4. Google user data
To stop Presence Pilot accessing your Google account going forward:
- Open Google Account → Third-party apps with account access
- Select Presence Pilot (or the Google Cloud project name shown) and remove access
Removing Google access stops new API calls. Cached Google user data in our systems is erased when you submit a deletion request as above. We do not retain Google user data for advertising. Our Limited Use commitments are in the Privacy Policy.
5. Meta (Facebook / Instagram) user data
Meta requires a publicly accessible explanation of how users can delete data obtained through Facebook Login or Graph API. That explanation is this page.
To remove the app from Facebook:
- Open Facebook Settings & privacy → Settings → Apps and Websites
- Find Presence Pilot and select Remove
Then submit a deletion request to us so we erase stored Page tokens, review caches, and identifiers. If Meta sends us a data-deletion callback for a user who removed the app, we treat that as a deletion request for that Meta user ID and associated tokens and cached platform data.
Removing the app on Facebook does not automatically delete your Presence Pilot login if you also signed up with email. Specify whether you want the entire Presence Pilot account removed or only Meta-derived data.
6. Disconnect without deleting the whole account
You may ask us to disconnect Google or Meta only, while keeping your Presence Pilot account. Say so in the form or email. We will delete tokens and cached data for that integration and leave your account, billing, and other locations intact.
7. Timeframe
- We acknowledge requests as soon as practicable, typically within 7 days.
- We complete deletion of in-scope data within 30 days of verifying the request.
- Encrypted backups roll off on their normal cycle (generally within 90 days) and are not restored into production except for disaster recovery.
8. What we may retain
We may retain limited information where necessary to:
- Comply with tax, accounting, or other legal obligations
- Establish, exercise, or defend legal claims
- Prevent fraud or abuse (for example a suppressed email on a blocklist)
- Honour a separate controller’s instructions if we only processed data as their processor
Retained records are limited to what is needed and kept only as long as required.
